Administrative & Member Services Coordinator
National Cycling Centre – Pacific
Position Type: Contract/Part-Time.
Competition Close Date: July 25, 2008.
Salary: $13.80/hour
Hours: 15-20 hours per week. Schedule of hours flexible.
Reports To: National Cycling Centre Head Coach
Location: Victoria, BC
NCC-Pacific Mandate
The goal of the National Cycling Centre — Pacific is to achieve world-class podium performances through core strategies that encompass athletes and athlete needs, coaches, communications, relationships and strategic partnerships, recruiting, community involvement, and resource generation.
Position Responsibilities
The Administrative and Member Services Coordinator is responsible for providing executive support to the Director and Head Coach of the National Cycling Centre — Pacific as well as administrative and organizational services in the management of the office, special events, website, and marketing for the NCC-Pacific. The candidate will provide administrative services, assist with equipment management, execute communication plans, facilitate program delivery and training camps, work with volunteer committees, and attend some events.
Key Accountabilities:
Administrative & Member Services
– Provide a range of general administrative support, including: answering the phone, faxing and photocopying services, filing, organizing meetings, taking minutes, and presentation preparation.
– Assist in program coordination and execution, including: registration, facility bookings, training camps, travel and accommodation logistics, budgeting, and post-program follow-up and evaluation.
– Process fee payments, track expenses and monitor overdue invoices.
– Assist with management of centre equipment: ordering and shipping of equipment, and tracking repairs.
Data Coordination and Reporting
– Assist in coordinating and maintaining member information, including database entry, updating, and maintaining membership hard files.
– Assist with annual and monthly reports.
– Maintain other database info including equipment inventory and repairs.
Communications
– Write news reports for the website on athlete success, training camps and other NCC-Pacific updates.
– Update athlete profiles on website when necessary.
– Communicate with local media regarding athlete successes and specific events for media to attend (training camps, local events).
– Keep up with timely email communications with athletes.
Other Responsibilities
– Complete projects as necessary and assigned by the Director and Head Coach of NCC-Pacific. This may include grant and funding proposals, and communication materials.
– Assist with planning special events and meetings.
– Attending events on behalf of the NCC-Pacific.
– As a small organization, we expect a team player who will help whenever necessary.

Other Requirements:
– Proficient computer skills; strong knowledge of Microsoft Office.
– Proven administration experience and skills, preferably in a not-for-profit or sports environment.
