Through its programs, the CAC empowers coaches with knowledge and skills, promotes ethics, fosters positive attitudes, builds competence, and increases the credibility and recognition of coaches.

As a key member of the Coaches of Canada Department, the Licensing/Registration Coordinator will coordinate all aspects of the application and renewal process, working with coaches and partners.

Job Description:

LICENSING/REGISTRATION COORDINATOR

STATUS: Full-Time Employee, one year term with option to renew.
REPORTING TO: Executive Director, Coaches of Canada – a Department of the CAC
LOCATION CAC: Office, Ottawa, ON ADDITIONAL REQUIREMENT: Bilingual preferred and may be given priority

DUTIES & RESPONSIBILITIES Licensing/Registration:
• Liaise with the Licensing/Registration Committee regarding new applicants and potential changes or improvements to the licensing/registration system as needed;
• Compile the “Applicant Spreadsheet” for the Committee to review;
• Process new applicants:
• Monetary transactions (ensure that credit card or cheque payments have been received and processed);
• Database recording;
• Assemble the new license/registration packages to be mailed to new licensees/registrants.
• Process license/registration renewals:
• Twice yearly (March and September);
• Includes sending out communications, processing payments, updating the database and sending out renewal thank you notices and new license/registration stickers;
• Provide updates to the ED on the renewal rate.
• Liaise with the CAC Finance Department to generate invoices for single licenses/registrations, as well as sport organizations;
• Provide help to existing or prospective licensees/registrants via telephone or email, such as, website help, payment options, and general questions;
• Coordinate and perform all office tasks including answering telephone calls, managing fax transmissions, managing general email, and routing information to the appropriate recipient;
• Ensure the integrity of the licensee/registration database, and generate reports as required;
• All other administrative responsibilities as directed by the Executive Director.

Other:
• Liaise with the CAC Marketing & Communications department to generate content for website, social media, and email communications to members.
• Potential travel to represent the Coaches of Canada department at events.
• Assist with the development and implementation of departmental initiatives related to licensing/registration of professional coaches. EDUCATION AND/OR EXPERIENCE

An equivalent combination of the following education and experience will be considered:

• Bilingualism (English, French) with excellent spoken and written skills in both languages;
• College or university education in sport management, public relations, or an equivalent combination of education, training, and expertise;
• Minimum three years relevant experience;
• Experience with website content management systems;
• Experience working with local, provincial, or national sport organizations an asset.

SKILLS & ATTRIBUTES
• Knowledge of the principles, practices, techniques, and best practices related to internal and external communications;
• Ability to develop and monitor timelines and development plans to achieve project goals and responsibilities;
• Possess strong oral and written communication skills, preferably in both official languages, with an ability to establish credibility and trust quickly with a wide range of stakeholders;
• Ability to think innovatively and critically – have excellent judgment and be comfortable working in a changing environment;
• Must be a strong team player, willing to play a supportive role to the senior management team;
• Possess project management skills, with the ability to monitor timelines and development plans required to achieve goals and responsibilities;
• Strong competency in office-related computer programs;
• Demonstrated passion for sport or physical activity considered an asset.
