Job Opportunity – Sport BC

February 6, 2008 – Sport BC is looking for a qualified candidate to fill the position of Events Assistant in the Vancouver/Richmond area. The deadline for application is February 25, 2008.

This role assists in the hands-on operational planning and hosting of Sport BC’s portfolio of annual events and event services. Reporting to the Manager of Event Services, the role undertakes a range of logistical, clerical and planning duties that ensure that Sport BC’s events, that are hosted both onsite at Sport Campus BC and offsite around the Province, are planned and executed to the highest quality, on time and on budget.

Key Elements Include:
– Liaison with Manager of Event Services and other executives as appropriate regarding event program design and execution
– Assistance with venue selections, including venue search, quote acquisition, site inspection, bookings, etc
– Pre-event bookings, registrations, VIP and customer enquiry management
– Pre-event liaisons with event exhibitors, sponsors and/or media partners
– Management of venue room set-up, including AV supplier liaisons
– Onsite event registrations & delegate management
– Food & beverage management, including menu selection & ordering, catering dept liaisons, quality control and onsite F&B management
– Assistance with post-event quality surveying and close-out
– Liaisons with Director of Marketing & Communications and Director of KidSport BC where necessary
– Liaison with Finance & Accounting Department regarding invoicing, bill payment and other financial matters
– Other ad hoc duties as directed by the Manager of Event Services

Competencies / Skills Required
1. Previous experience in, or a knowledge of, the events and/or hospitality industry
2. Strong organizational and planning skills
3. Deadline-driven and detail-orientated
4. Energy, enthusiasm and an ability to move quickly to get the job done
5. An ability to multi-task and manage elements of several projects at the same time
6. Strong clerical skills
7. Strong communication skills and a love of working in a team
8. Strong listening skills and an ability to take direction
9. IT literate
10. A passion for and belief in sport and recreation, the value it brings to the community, and the role events play in this
11. Qualifications in event management or a related field would be an advantage
